PLEASE BE AWARE:
Active Hawk Nest Alert: Woodland Cabins spans 44 acres, much of which is wooded. There may be an active hawk nest on or near the property. During nesting season, typically spring through early summer, hawks can become highly protective and may swoop or dive at anyone who gets too close to the nest area.
Hawks and their nests are protected under the federal Migratory Bird Treaty Act. It is illegal to disturb, harm, or remove them.
If you see a nest or notice hawk activity, please take a photo if it can be done safely and send it to us. This helps us monitor activity and keep all guests informed.
Safety Guidelines:
- Stay alert outdoors, especially near the nest trees.
- Closely supervise children and pets at all times.
- Consider wearing a hat or carrying an umbrella for overhead protection.
- Never approach or harass the hawks
RENTER AGREEMENT TERMS AND CONDITIONS:
Please read the following Renter Agreement Terms and Conditions carefully before making a reservation at Woodland Cabins. By submitting your reservation and information, you confirm that you have read, understood, and agree to all policies on our website, as well as the terms and conditions below. Guest/Cardholder will be required to sign a Renter Agreement which contains the following information:
By making a reservation, I confirm that I am at least 21 years old. In agreeing to the terms and conditions for renting a cabin, I hereby acknowledge and consent to the following:
- USE AND OCCUPANCY
Occupancy limits must be followed. In no event shall the Rental Property be occupied by more persons than the capacity of the property as stated on the web site or the confirmation email, without prior approval by Owner. Guests must disclose the number of children. A child is any person under 18. No parties, events, unauthorized guests, unlawful, or commercial use. Violations may result in immediate eviction without refund and forfeiture of all monies paid. This is a short term rental only. No landlord tenant relationship is created. Owner may enter the property as reasonably necessary for inspection, maintenance, repair, or emergencies. - PAYMENT TERMS AND SECURITY DEPOSIT
Guest authorizes Owner to charge the credit card on file for all amounts due under this Agreement, including rent, security deposit, damages, fees, and violations, including those identified after departure. If Guest signing this Agreement is not the cardholder used for payment, Guest agrees to notify Owner in advance. The cardholder must also review and sign this Agreement and provide authorization for the charges. Failure to disclose a different cardholder or obtain cardholder authorization may result in cancellation of the reservation without refund. A payment of 50% is collected at booking. Any remaining balance is due 21 days prior to arrival and will be automatically charged to the card on file. If payment fails, Guest must promptly provide payment or the reservation may be canceled without refund. A security deposit of $150.00 will be placed on the credit card on file 3 days prior to arrival. The deposit will be released within 3 days after departure, less any applicable deductions. Deductions may include, but are not limited to, cleaning, repairs, missing items, hot tub service, trash removal, or other service charges. Owner is not required to use the least expensive method of repair. Guest remains responsible for all damages exceeding the security deposit and agrees to pay any remaining balance within 3 business days of notice. Any refunds due from a credit card payment will be returned to the original card. Charges will appear as Woodland Cabins on the Guest’s credit card statement. - CANCELLATION POLICY
In the event Guest wishes to terminate this agreement, Travel Insurance, Damage Protection and any processing or administration fees are non-refundable. The refund policy is as follows: Cancellations require at least 21 days notice for a refund minus $50 per cabin or 3% processing fee, whichever is greater. Stays of 7 nights or bookings of 2 or more cabins require 30 days notice. No refunds for no shows or early departures. Credits may be issued at Owner discretion and expire in 1 year unless otherwise noted. Guest agrees not to initiate chargebacks for valid charges and remains responsible for any associated costs, including legal or collection fees. - GUEST ID VERIFICATION
Guest acknowledges that Owner may use a Guest ID solution for identity verification and fraud prevention. This may include a fully automated two-factor authentication process that is secure and takes less than a minute to complete. If requested, completion of Guest ID verification is required prior to check-in. By completing the verification, Guest agrees to the use of this system to confirm identity and prevent fraudulent transactions. - CHECK-IN AND ACCESS
Check-in is after 3 pm and check-out is by 11 am. Early check-in or late check-out may be available for a fee. Access is provided via entry code. - PET POLICY AND LIABILITY
Dogs are permitted only with prior written approval, payment of applicable non-refundable pet fees, and only in designated pet friendly cabins. Unauthorized pets are strictly prohibited and will result in a fee of $250 per pet and may result in immediate termination of the reservation without refund. Pet fees are $75 for the first dog and $50 for each additional dog, with a maximum of 2 dogs unless otherwise approved in writing by Owner. Owner reserves the right to require an additional security deposit of up to $250 per cabin. All pets must be of a non-aggressive breed, properly trained, current on vaccinations, and on active flea and tick prevention. Pets must be kept on a leash while outdoors and must be crated if left unattended. Pets are strictly prohibited on furniture and in hot tubs. Guest Liability: Guest assumes full responsibility for all pets and agrees to be liable for any and all injury, damage, or loss caused by or related to the pet, including but not limited to damage to the property, furnishings, flooring, doors, or surrounding areas, as well as harm to guests, staff, or third parties. Guest agrees that such liability may exceed the amount of any security deposit. Guest further agrees to indemnify, defend, and hold harmless Owner, its agents, employees, and affiliates from and against any and all claims, liabilities, damages, costs, or expenses, including legal fees, arising out of or related to the presence or behavior of any pet. Guest acknowledges that additional charges may apply for pet related damage, excessive cleaning, odor remediation, pest treatment including fleas or ticks, or loss of rental income if the property is rendered temporarily unavailable Payment Authorization: Guest expressly authorizes Owner to charge the credit card or payment method on file for any amounts due under this section, including but not limited to pet fees, damage, cleaning, pest treatment, or lost rental income, without additional notice or authorization. Owner reserves the right to require the execution of a separate Pet Addendum, which is hereby incorporated by reference. In the event of any conflict, the terms of the Pet Addendum shall control. - SMOKING
No smoking (cigarettes, vaping, or cannabis) or drugs inside the property. Violations result in eviction and a $250 cleaning fee. - PROPERTY CONDITION AND REPORTING
Guest must report any issues or damage within 2 hours of check-in. Failure to report may result in Guest being held responsible. Property must be left in reasonable condition. Excessive cleaning or trash will result in additional fees. - HOT TUB AND AMENITIES
Hot tubs are serviced prior to arrival. In some instances, the hot tub may be drained and refilled before your stay, and additional time may be required to reach a comfortable temperature. Any issues must be reported within 2 hours of arrival. Use of the hot tub is at Guest’s own risk. The introduction of foreign substances, including but not limited to soap, shampoo, oils, sunblock, glass, or metal, will result in a $250 Service Call Charge, which will be billed to and paid by the Guest, at the sole discretion of Owner. Pets are strictly prohibited in the hot tub. Violation of this policy may result in immediate eviction and forfeiture of all monies paid including Security Deposit. No refunds will be issued for inoperable appliances, hot tubs, mini-splits, or similar amenities. Owner will make reasonable efforts to ensure all amenities are in good working order. No refunds will be provided for temporary outages or interruptions, including but not limited to utilities, internet, power outages, water shortages, flooding, snow, construction at adjacent properties, or mandatory evacuations due to weather or other events beyond the Owner’s control. - RULES AND SAFETY
Excessive noise or disturbances are prohibited. Violations may result in eviction without refund. Property may have exterior security cameras. No cameras are inside. Tampering is grounds for eviction. - ASSUMPTION OF RISK AND INDEMNIFICATION
Guest acknowledges the property involves inherent risks, including uneven surfaces, stairs, decks, and wet or slippery conditions, and assumes all risk of injury, including slips, trips, and falls. Guest further acknowledges the property is located in a rural, wooded setting with the presence of wildlife, insects, birds of prey, and natural elements. Guest is specifically advised that birds of prey, including hawks, may be nesting on or near the property and may exhibit territorial or defensive behavior. Guest agrees to exercise caution, avoid disturbing wildlife or nests, and supervise children and pets at all times, and assumes all risks associated with such conditions. These conditions do not constitute grounds for refunds, relocation, or claims against Owner. Guest acknowledges that other guests may have approved pets and assumes all risks arising from interactions with animals or other persons, including injury or property damage. Owner is not responsible for the actions of guests or their pets, and any such claims shall be the sole responsibility of the responsible party. To the fullest extent permitted by law, Guest agrees to indemnify, defend, and hold harmless Owner from any and all claims, liabilities, damages, or losses arising from use of the property by Guest, their group, or any third party. - FORCE MAJEURE
Owner is not liable for cancellations, delays, or interruptions due to events beyond its control, including weather, natural disasters, government actions, or utility failures. - LIMITATION OF LIABILITY
Owner’s total liability, if any, is limited to the total amount paid by Guest. - GENERAL TERMS
Owner may reassign cabins to a comparable unit if necessary. Lost items may be returned at Guest’s expense or discarded after 2 days. This Agreement shall be governed by Illinois law. Any amendments must be in writing and signed by both parties. Any dispute arising out of or relating to this Agreement or the use of the Rental Property shall be resolved as follows: claims within small claims jurisdiction may be brought in the county where the Rental Property is located. All other disputes shall be resolved exclusively by binding arbitration administered by the American Arbitration Association under its applicable rules. Arbitration shall take place in the county where the Rental Property is located, and judgment on the award may be entered in any court of competent jurisdiction. The parties waive any right to a jury trial for disputes subject to arbitration and agree to bring claims only in an individual capacity, not as part of any class or representative action. Each party shall bear its own arbitration costs and fees, except the arbitrator may award reasonable attorneys fees and costs to the prevailing party as permitted by law. If any provision of this Agreement is found unenforceable, it shall be severed, and the remaining provisions shall remain in full force and effect. - ACCEPTANCE
By booking or staying at the property, Guest confirms they have read, understood, and agreed to this Agreement and all posted policies.
