• By making a reservation, I confirm that I am at least 21 years old. In agreeing to the terms and conditions for renting a cabin, I hereby consent to the following:

  Email and Text Communication Opt-In: I agree to receive emails and text messages from Woodland Cabins.

  Cancellation Policy Update: I understand that effective January 14, 2024, the cancellation policy extends the notice period from 14 to 21 days for bookings made on or after this date. This adjustment allows Woodland Cabins sufficient time to rebook accommodations. Guests canceling with 21 days or more notice from the check-in date will receive a full refund, minus a $50 per cabin or 3% cancellation/credit card processing fee (whichever is greater). For reservations for a seven-night stay or more and/or for parties booking two or more cabins for the same or similar dates, a notification period of at least 30 days or more is required in order to cancel. No refunds will be made for “no shows,” early departures, inoperable appliances (i.e., hot tubs, ovens, etc.), or inclement weather.

  Security Deposit Hold: I understand that a security deposit hold of $150 is required and will be automatically reserved before the arrival date.  The hold will be placed on the guest’s credit card for $150. If the rental property is returned undamaged beyond normal wear and tear, the full security deposit will be released within a few days. In the case of damages exceeding the security deposit, the guest agrees to pay the balance within business days of receiving notification.

  Arrival and Departure Times: Check-in is allowed any time after 3 p.m. on the reservation day. Early check-ins (between 1:30 pm and 3 pm) are available for a $30 fee.  Self-check-in is facilitated with an electronic door code sent via email before arrival.  Departure time is anytime before 11 a.m.  Late departures (at 12:30 p.m.) are available for a $30 fee.  Subject to availability and must be purchased in advance of the reservation.

  Deposit/Payment Schedule: A 50% deposit is required at the time of booking to confirm the reservation. The remaining balance is due at least 21 days before check-in. Reservations made within 21 days of check-in require full payment, and no refunds are available. 

  Occupancy: The cabins are meant for two guests only.

  Pets Policy: Dogs are permitted on a case by case basis and in designated cabins only.  If approved, a non-refundable pet fee of $75.00 for the 1st dog and $50.00 for the 2nd dog is required with a maximum of two dogs per cabin.  Only non-aggressive dog breeds with up-to-date vaccinations are permitted. Moreover, the security deposit hold will be increased from $150.00 to $250.00, which will be released if no damages occur.  Should any other unauthorized pets be found on the premises without the corresponding pet fee paid, a charge of $250 per dog/pet will be applied to guests’ accounts and guests may be asked to leave. Dogs are not permitted on beds or furniture, and it is strongly recommended that they remain in the company of their owners at all times. If dogs are to be left unattended in the cabins, they must be securely placed in a crate. Additionally, all dogs must be leashed while walking on the property. 

  No Smoking Policy: Any and all types of smoking (cigarettes, vaping, or cannabis) are prohibited inside the cabins. Violation leads to eviction without refund. A $250 deep cleaning fee will be charged for smoking inside.

  Hot Tubs: Hot tubs are prepared and tested before check-in. Guests must report issues within 2 hours of check-in.  It is essential to cover hot tubs when they are not in use.  Periodically, hot tubs may need to be fully drained and cleaned between guests, which may impact the water temperature at check-in. Proper swim attire is required, and adding foreign substances to the hot tub results in service charges. A minimum charge of $150–$300 applies for any foreign substance found upon check-out. Pets are strictly prohibited in hot tubs.

  On-Site Construction: Woodland Cabins is currently building four new cabins on our property. To ensure your safety, we request that you refrain from entering the construction zone. We apologize in advance for any inconvenience caused by the construction activities, including possible noise disruptions.

  Hold Harmless Clause: I hereby acknowledge and agree that Woodland Cabins, Shawnee Forest Properties, LLC, and its employees, management, and affiliates shall not be held liable for any accidents, injuries, or loss of, or damage to, personal property that may occur on the grounds or within the cabins. I expressly release them from any such claims, demands, or causes of action.
